Our boutique law firm, which focuses on representing dentists and veterinarians across the country in a full range of business matters, seeks a highly motivated, full-time senior paralegal with a minimum of4 years of experience in real estate and/or transactional and/or corporate practice areas to work as part of our legal team. Position is full-time (40 hours/week, Monday – Friday) in our Philadelphia office.

Responsibilities:

Responsibilities include, among other things:

 

  • Prepare initial drafts and revise Letters of Intent, Employment Agreements, Asset Purchase Agreements, and more.
  • Perform entity formation; Prepare operating agreements and obtain EINs; Research zoning; coordinate UCC searches and handle other matters relating to dental and veterinary practice start-ups and acquisitions; Communicate directly with clients to obtain necessary information and advise on the status of such matters.
  • Apply for Bulk Sales Certificates, Certificates of Occupancy and related documents.
  • Collaborate with supervising attorneys and clients to perform due diligence including the collection and evaluation of due diligence materials in connection with business and real estate transactions.
  • Support attorneys in connection with the closing of transactions including the preparation of exhibits and schedules as well as the coordination of other logistical matters. Coordinate execution and delivery of signature pages and notarization of documents for closing and leases, as applicable.
  • Act as liaison between attorneys and various third parties including CPAs, lenders and brokers.

Qualifications:

The ideal candidate is a highly motivated individual who exhibits confidence, strong organizational and communication skills, professionalism, and a positive attitude as well as a command of technology with an aptitude to problem-solve and learn new systems/applications. This paralegal will work independently and as a key member of the legal team, working closely with the attorneys in the office as well as clients and other third parties. The position includes a significant opportunity for growth for an individual who willing to take on additional roles within the law firm.

Our boutique law firm seeks an experienced, professional, detail-oriented Executive Assistant who exhibits confidence, initiative and strong communication skills to support the Managing Partner of the firm. This position is in-person in our Philadelphia office from Monday to Friday, not remote. This role provides executive support in a one-on-one working relationship with the Managing Partner and serves as the Managing Partner’s “right hand person,” attending to day-to-day functions to support the Managing Partner while serving as a key member of the firm’s team of attorneys and paralegals.  The dynamic nature of this role requires the ideal candidate to have exemplary time management skills and the ability to identify and anticipate the Managing Partner’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the office legal team (attorneys and paralegals), clients, lenders, CPAs, practice brokers, real estate brokers and other professionals. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.  To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, and personnel information while exercising professionalism and discretion.

Responsibilities include, but are not limited to, the following:

  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
  • Review, prioritize and respond to emails on behalf of the Managing Partner
  • Respond to phone calls and voicemails, communicate messages and information to the Managing Partner
  • Coordinate and manage scheduling and personal appointments for the Managing Partner
  • Manage and arrange complex and detailed travel plans, itineraries, and agendas for the Managing Partner
  • Coordinate and handle event planning and logistics
  • Take notes at meetings and handle post-meeting follow-up
  • Draft, review and send communications on behalf of the Managing Partner
  • Compose and prepare correspondence and assist with preparing presentations
  • Edit and proof-read documents and marketing materials
  • Read and review documents, articles and other information; summarize relevant content; data analysis
  • Liaise with clients; handle and coordinate customer relationship management (CRM)
  • Participate in client onboarding and initial client engagement, including participation in initial intake calls, preparation and collection of engagement letters, and direct communication with clients regarding any initial questions and concerns
  • Set up new matters in the firm’s practice management software; assist with maintaining practice management databases and generate reports to assist with the coordination, triage, and assignment of new matters to firm attorneys

  • Coordinate with IT, Telecommunications and Building Management through their respective portals as well as direct communication
  • Work on the production of firm podcasts; draft podcast show notes; coordinate with the production team on the release of podcasts; coordinate and schedule podcast guests
  • Handle posting/publishing on firm Social Media accounts; respond to Social Media comments and messages; handle email blasts through platforms such as MailChimp to clients regarding podcasts and developments in the law
  • Organize, coordinate and handle marketing content
  • Responsible for uploading new content on the firm website and revising website content.
  • Act as liaison with various third parties including insurance providers, CPAs, lenders and brokers.

 

 Education and Skills Required/Preferred:

  • Bachelor’s Degree
  • Strong work tenure: 5-10 years of experience as an executive assistant at the executive level
  • Experience working in a law firm (preferred)
  • Expert level written and verbal communication skills
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, industry leaders and other 3rd parties
  • Excellent time management and prioritization skills
  • Detail oriented
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
